Terms of service

Craft is in its pilot. These terms are the agreement between you and us while it is.

1About these terms

“Craft”, “we” and “us” mean the people who make and run Craft. “You” means the coach using Craft.

These terms and our Privacy policy make up the agreement between us. By using Craft, you accept them.

2Who can use Craft

  • Craft is for coaches we’ve invited to the pilot. Only the email addresses we’ve invited can sign in.
  • You must be 18 or over, and use Craft for your coaching practice.
  • Your account is yours alone. Don’t share your sign-in with anyone.

3The pilot

  • Price. Craft is free during the pilot. If we start charging, we’ll tell you at least 30 days before, and you won’t pay anything unless you agree to.
  • It will change. Craft is still being built. We’ll add features, change them, and sometimes take them away.
  • It won’t always be there. During the pilot, Craft runs on one server in the UK. A power cut or a network problem there takes Craft offline until it’s fixed. We’ll tell you when that happens.
  • The desktop app doesn’t update itself yet. We’ll send you each new version to install.
  • Your feedback shapes it. We’ll ask what works and what doesn’t. If you send us ideas, we can use them without owing you anything for them.

4Your responsibilities

You’re the controller of your clients’ information. That means some things are yours to get right.

Have a lawful basis

You need a lawful basis for what you record about each client. Coaching conversations can include special category data, such as health, and you need a legal condition for recording that too.

Tell your clients

Your clients never see Craft, so they learn about it from you. Your own privacy notice should tell them that you use Craft, that sessions may be transcribed and written up with AI, and how long you keep your records. Ask us and we’ll send you wording to adapt.

Only add transcripts your client has agreed to

Add a transcript of a session only when your client knows about it and has agreed. If they ask you not to, or to delete one, you can do that at any time.

Check every draft

A write-up is drafted by AI. It can miss things, get them wrong, or put something private in a section meant for sharing. Read each section before you keep it, and read the whole copy before you share it. What you share is your responsibility.

Keep your devices secure

Use Craft on a computer with its disk encryption turned on (FileVault on a Mac) and a user account of your own. Craft keeps unsaved changes on your computer for up to 30 days, so this matters.

Answer your clients’ requests

If a client asks to see, correct or delete what you hold about them, it’s for you to answer. Craft gives you the tools, and we’ll help where we can.

Craft doesn’t replace your professional judgement, or your professional body’s rules on keeping records.

5Using Craft fairly

Please don’t:

  • use Craft for anything illegal, or to hold information you have no right to hold;
  • try to reach another practice’s data, or test Craft’s security without our written permission;
  • overload Craft, get round its limits, or copy or take apart its software;
  • upload anything harmful, such as malware;
  • let anyone else use your account, or resell access to Craft.

If you break these rules, or put other coaches or their clients at risk, we may suspend your account. We’ll tell you why, unless the law stops us.

6Your content

Everything you put into Craft stays yours: your notes, your templates and your clients’ information. You give us permission to store and process it only to run Craft for you.

We don’t sell it. We won’t use it to test or improve Craft unless you agree to that separately.

Craft itself, its software, design and name, belongs to us. While you’re in the pilot, you may use it for your practice.

7Processing client data for you

For your clients’ information, you’re the controller and we’re your processor. The law (Article 28 of the UK GDPR) says what we must promise you. We will:

  • process it only on your instructions. These terms, and how you use Craft, are your instructions;
  • make sure everyone who can reach it is bound to keep it confidential;
  • keep it secure, as our Privacy policy describes;
  • use only the providers listed in our Privacy policy, and tell you before we add or change one, so you can object;
  • help you answer your clients’ requests and meet your own duties, such as keeping data secure and assessing risks;
  • tell you without undue delay if we learn of a breach that affects it;
  • delete it when you leave, after giving you a copy if you ask;
  • give you the information you need to show we’re keeping these promises.

Some of this information is special category data. We handle it for the purpose of providing Craft to you and for the length of your agreement with us.

8Ending

  • You can leave at any time. Email hello@coachwithcraft.com and we’ll close your account.
  • We can end the pilot, or your place in it, with at least 30 days’ notice. We can end it straight away if you seriously break these terms.
  • Take your data with you. Before your account closes, ask and we’ll export everything you’ve put into Craft. During the pilot we do this by hand.
  • Then we delete it. We delete your account and your practice’s data within 30 days. Encrypted backups hold it for up to 35 days, and monthly backups for up to 400 days, and then it’s gone.

Sections 6, 7 and 9 still apply after your account closes, for as long as they need to.

9Our liability

  • During the pilot, Craft is provided as it is. We’ll build and run it with reasonable care and skill, but we can’t promise it will always be available, free of mistakes, or that AI drafts will be right.
  • We’re not responsible for indirect losses, lost profits or lost business, or for anything that follows from sharing a draft you didn’t check.
  • Our total liability to you under these terms is limited to £100.
  • Nothing here limits anything the law doesn’t allow us to limit, such as liability for death or personal injury caused by negligence, or for fraud.

10Law

These terms are governed by the law of England and Wales, and only the courts of England and Wales can hear disputes about them.

11Changes to these terms

We may update these terms as Craft grows. We’ll email you at least 30 days before an important change takes effect. If you don’t agree to it, you can stop using Craft before it does.
